Thesis Writing Hub: Frequently Asked Questions

This guide provides all resources related to project, thesis, and dissertation writing and submission process at AUB.

The following frequently asked questions address common concerns related to thesis formatting and submission. Please review them carefully before preparing your final document. They cover the most common issues the students face. 

1. What are the guidelines for AUB thesis formatting?
Formatting your AUB thesis is made easy with the requirement to use the AUB thesis template. Students can refer to the thesis formatting guidelines for more details.
2. Is there a required thesis template that I should use?
Yes, you are required to use the AUB thesis template, which can be found on the University Libraries webpage under For Students, or on the Thesis Writers Hub. Templates are available in Microsoft Word or LaTeX format, depending on your school’s requirements.
3. What is the procedure for submitting my thesis to the library?
  • It is recommended that you email a draft of your thesis to the library for review, four to two weeks prior to your thesis defense. The draft should include the preliminary pages, table of contents, a representative sample of chapters with headings, and the bibliography.
  • The draft file should be sent (in Word or PDF for LaTeX) to the library at lib-thesis@aub.edu.lb.
  • Library staff will work with you to ensure that your thesis meets AUB’s formatting guidelines. Once approved, you will be guided through the submission process to ScholarWorks, AUB’s institutional repository.
4. Does the library staff proofread my thesis/dissertation?

No. The library staff does not proofread the main body of your thesis or dissertation. However, the preliminary pages—including the title page—will be reviewed for formatting and accuracy. If any obvious typos or errors are noticed in the main text, you may be notified.

5. What documents should I upload with the thesis?

After the defense, you are required to submit the following:

  • Approval Form: The form must be signed by both the Advisor and Committee members. Both handwritten and electronic signatures are acceptable.
  • Release Form: Complete and electronically sign the release form on the day you submit your thesis to AUB ScholarWorks.
6. Can I prevent or restrict access to my thesis and dissertation?

As the sole copyright holder of your thesis or dissertation, you may choose to restrict access for up to three years from the date of submission. After this embargo period, the University Libraries retain a non-exclusive right to make your thesis available for research purposes only.

7. Can I make changes to my thesis or dissertation after it has been successfully submitted?

Once the submission has been approved and archived on AUB ScholarWorks, modifications to the files and/or their content are generally not permitted. However, if requested by the Library, the student may provide a revised version in cases where typographical errors or inaccuracies, primarily on the preliminary pages, are identified at a later stage.

8. How is my thesis submission related to my clearance and graduation?

Before final clearance and graduation, the Registrar’s Office must first receive clearance notification from the library. This process takes one to two working days from the date the student’s files are approved and submitted to AUB ScholarWorks.

9. What happens if I miss the thesis submission deadline?

Missing the thesis submission deadline will delay your graduation, requiring you to wait for the next available graduation cycle.

10. Can I include my thesis data and other supplemental files (audio, video, CSV, code …) in AUB ScholarWorks?

Yes, you may save your thesis data and supplemental files by uploading them to AUB Data Bank in AUB ScholarWorks. Check the AUB Data Bank guidelines for specific requirements.

11. Should I submit to the library a paper copy of my thesis/dissertation for review, or email it?

You may email only a digital copy of your thesis for review by the library. Once it is approved, you will be asked to upload it to AUB ScholarWorks for long-term access and archiving.

12. Where can I get help with formatting and submitting my thesis or dissertation?
