How to Deposit your Thesis, Dissertations and Projects

Required Documents

Depositing your Thesis, Project, or Dissertation into ScholarWorks, is the final step in the thesis submission process to the Library. In order for your final submission to be approved you will have to upload 3 different PDF files to ScholarWorks:

  1. Your unsigned full thesis document, which includes the Approval Page unsigned
  2. The signed Approval Page (separate document)
  3. The signed Release Form (separate document)
  • Download the Release Form
  • Fill, electronically-sign, and date the form, while making sure the date on the Form is the date of submission to ScholarWorks.

Before initiating your submission into ScholarWorks:

  • Make sure your thesis, project, or dissertation title is consistent throughout: the Title Page, Approval Page (signed), Approval Page (unsigned), and the Abstract Page
  • Make sure the date on the release form is the date of submission to ScholarWorks
  • Rename your final PDF files to meet the following naming convention with no blank spaces:
    • Thesis file: LastNameFirstName_currentyear.pdf (e.g. DoeJohn_2024.pdf)
      • in the Description field add: Main Thesis
    • Approval form file: LastNameFirstName_ApprovalForm_currentyear.pdf (e.g. DoeJohn_ApprovalForm_2024.pdf)
      • in the Description field add: Approval Form
    • Thesis file: LastNameFirstName_ReleaseForm_currentyear.pdf (e.g. DoeJohn_ReleaseForm_2024.pdf)
      • in the Description field add: Release Form

Deposit

  1. Go to https://scholarworks.aub.edu.lb/handle/10938/32/submit
  2. Login with your AUBnet account (without @mail.aub.edu) and password
  3. Fill in the Item Submission form and complete it by following the below guidelines:
  • Add a description to your thesis, make sure to include the title of the thesis, author(s) name/your name, name of advisor, committee members, your AUB ID number, your granted degree, your faculty, department, date of publication/submission, type of publication (thesis or project or dissertation), keywords and the abstract.
  • On the "Upload File(s)" page, upload the 3 required PDF files separately (after uploading a file, click on “Upload file & add another”, to add another)
  1. On the License page, read carefully the distribution license before you click the checkbox "I grant the license".

N.B. You can save and close your work at any step of the submission. You resume it later by clicking on "My submissions" under "My account" section.

Please note that your submission goes through a review process that takes a couple of working days after which you will be notified by email (from dspace@aub.edu.lbabout the status of your submission. If rejected, the reasons for rejection and the requirements for approval will be stated in the notification email.

The submission will not be finalized unless you receive an email from the Library staff confirming the successful deposit. This usually happens within 2 working days from the date of submission. If you do not receive a confirmation email within this period, you are urged to contact lib-thesis@aub.edu.lb

As part of the review process, Libraries' team in charge of the repository adds to your submission a set of administrative, descriptive and preservation metadata to ensure appropriate storage and retrieval.
